Job Description: 1. ADVERTISING AGENCY INTERACTION & COORDINATION Complete independent interaction with advertising agencies working on the Group account to ensure time bound deliveries of all jobs. Material coordination between different departments of the Group and the external agency. Maintenance and filing of complete documentation of agency interaction including Minutes of the Meeting and all correspondence. 2. MEDIA AGENCIES INTERACTION & COORDINATION Proactively interact with and manage relationships with all media houses (print media newspapers / magazines, electronic media, and outdoor media) and have updated media rates at all times. Manage relationships with releasing agencies. Maintain updated media lists. Draw up media plans tailored for specific Mani projects and events, and negotiate best rate packages for the group. Coordinate with the advertising agency / design team so as to ensure adherence to material deadlines and timely releases. 3. PR INTERACTION & COORDINATION Proactively maintain relationships with PR agencies. Handle PR activities of the group as required either directly or through a PR agency. For PR activities being directly handled by us, organize and manage Press Conferences and media briefings which would include - send out the media invites ensure media attendance plan and manage the event flow including transport for pick up and drop for the press prepare the press release and press handouts handle the press registration desk coordinate the F&B provisions if any, organize the photographer / videographer as required, handle the celebrity presence if any. Subsequently follow up with the PR agency / media for the press coverage. Document and file all such coverage. Independently initiate and handle celebrity visits to the mall during events and also general walk-in celebrities. 4. GROUP WEB SITES / FACEBOOK Independently manage all group websites by interacting with our design and maintenance vendors and the website hosting vendors. Set up a formal maintenance schedule so that websites are kept updated at all times with the Group developments and all enquiries and responses generated through the web are appropriately resolved / directed. 5. ALL OTHER AGENCY INTERACTION Proactively maintain relationships with all other agencies and media including FM radio channels, SMS broadcast service providers, local cable TV channels. Draw up specific media plans and budgets as and when such requirements come up for group activities. Manage all such interactions. 6. CORPORATE MAGAZINES Proactively handle and be the one-point contact for the designated agencies for bringing out all our corporate magazines and newsletters. Coordinate with the agency for generating all content for the magazines and ensuring time bound production and distribution. This would include Scheduling interviews with retailers / apartment owners / etc. as per the content requirement of the magazines. Organizing celebrity interviews Coordinating with the photographer as required Proof reading the entire manuscript sent by the agency Coordinating with the design team and ensuring timely print and production so that publication release adhere to fixed deadlines Distribute all corporate magazines / newsletters and file and archive office copies for our records. 7. NEWS SCANNING Scan all newspapers and other media daily for news items, press articles, advertisements, etc. relevant for us. Maintain scrap books with all such records on a daily basis. 8. MAILING LISTS Maintain and regularly update the different category wise mailing lists of the group. 9. ARCHIVING & FILING File, catalogue and archive All advertisements published by the group categorized for different projects and events All photographs generated for events and other activities All samples, cutouts, CDs, etc. received by us. Scrapbooks and advertisements, etc. of relevant news items and competion watch. Keep stock of Mani Corporate Profile and School Profile ready and track stock-in-hand. 10. BILLING Receive, record and track all bills and invoices received from different agencies advt. / publications / other media / other agencies / vendors / etc. pertaining to the job profile. Maintain appropriate MIS of current outstandings with aging analysis Coordinate for payments with accounts.
